Postponing is a last resort, but at times unavoidable. A speaker gets sick, the venue isn't available anymore, or extreme weather is in the forecast.
As it is not ideal - INTIX aims to make the process as painless as possible, as you are probably under pressure and time is of the essence.
With a lot of moving parts in play, it is key to focus on a few things that need to happen in quick succession:
- pause ticket sales until a new plan is in place
- notify existing ticket holders of postponement
- email ticket holders with new information and updated policies
Pause ticket sales:
- Log in to your INTIX account > Host An Event > Select event
- Basic Info > Ticket Purchases End Date > Change to yesterday's date
On the front end, this makes tickets invisible and places this message:
This gives you a moment to change course, select new dates, make contingency plans. Next step!
Postpone your event:
- Dashboard > "Live" (top right corner) > Change Status
- Select "Postpone" from the drop-down menu
This will send an email notification to all of your ticket holders advising them that your event is postponed.
Email Attendees:
It is best practice to preface, or follow up, the postponement with a simple email to your ticket holders with as much explanation/information as you have at the time (i.e. the reason why it is postponed, rescheduled dates, refund policies in light of postponement).
Whether you send out an email prior or following the postponement notification, the instructions are simple.
- Manage Attendees > Email Attendees > Create New Attendee Email
- Type your text > Send Campaign Now
This is a simple text-only email that goes to your ticket holders.
Reschedule, and make your event live again!
Once you have the new details in place, change them on the event, and Change Status back to Live.
- Basic Info > Edit Event Starts (date/time), Event Ends (date/time)
- Ticket Purchases Available From > Change to when tickets to go back on sale
- Ticket Purchases End Date > Change to new event date (or when ticket sales stop)
Go back to your Dashboard and in the top right corner, Change Status to Live!
This will send an email notification to all of your ticket holders advising them that your event is back on sale.
